Integration of the SAP R/3 HR module with Work Time Recording System at Amica Wronki SA

Pioneer – as for Polish conditions – implementation of HR module, integrated with WTR system (Work Time Recording), is ongoing at Amica Wronki SA At the moment, the system is being configured on the basis of the accepted conception.

Decision about HR implementation
Leading producer of "white technology" decided to implement personnel and pays module of R/3 system in May, this year.The existing, DOS-based, application correctly registered personal data and information about the work time, but it did not compar e to R/3 with respect to technology. It was not properly integrated with other functionality of R/3. Also, abilities to support functions and development of this application as the companys needs extend were not sufficient.

The decision to implement HR R/3 was a natural consequence of some positive observations of this company as to R/3 system.

Amica selected Business Consulting Center (BCC) of Poznan, as the consulting company to carry on implementation and provide their know-how. Basically, it was the experience in similar project that was mentioned among other arguments. In relation to HR, it was very essential that BCC also provided solutions that extended R/3 standard with the following: functions to calculate job seniority from recorded employment periods, calculation of due vacation time, interfaces that connect R/3 with Work Time Recording systems, and any other additional reports and statements required by the Polish laws. Additional argument was the successful implementation, performed by BCC at Amica, of the modules: FI, CO, TR, FI – AA, MM, SD, PP i QM.

Implementation of HR basic components – personnel management and payroll, as well as part of the Planning and staff development functionality – will satisfy all the above expectations.
As soon as this year, Amica will use the building and updating function of the organizational chart and the position description. Schedule assumes start up of Personnel management and Payroll in January, 2000.

R/3 integration with WTR
Key element of this project is to connect SAP R/3 with the existing Work Time Recording system. Due to this, data coming from magnetic readers will be regularly updated and processed within R/3 system. There, any reading errors will be corrected; the work time balances generated as well as the pay elements and required assessments.

In opinion of Amica Project Manager Piotr Miszewski: "HR module confirms our good experiences we have with other functionality of SAP (Finance, Controlling, Treasury, Assets, Sale and Distribution, Materials Management, Production, Quality Management). Thank to the tools that are built-in within R/3, and qualifications of the consultants, we are able to implement HR module in 8 months. Beside, we buy efficiency, reliability, ability for system extension, and support from the leading supplier of ERP systems."

HR – reply to high demands
During creation of the implementation conception, it was focused on analysis of the existing solution – its strong and weal points. In result of this analysis, the team (whose key persons, from the Amica part, apart from project manager – Piotr Miszewski, were: Wanda Grolewska, manager of the Pays Accounting Department, and Anna Kujawska, manager of Personnel and Training Department) generated the list of expected benefits and requirements toward the prospected solution.

Amicas Pays Accounting Department staff is happy with the new system.
It will automate their work. Data entering and result evaluation will be easier. In a great range, it will eliminate manual data entering and registering. Any required information about personnel, work time, finances and costs will be available "on the desktop" all the time, allowing simulations and corrections of clearings.

The list of expectations featured the following points:

Integral base of information about any employee, used by personnel and remuneration officers for the matters related to organization, training, etc.
Improvement of the pays clearing (e.g. changes within a period, automatic correction) and operations with Work Time Recording system (WTR) – automation, fast processing
Data integration with other R/3 applications, continued updating of modifications in individual modules
Wide functionality of R/3 for up-to-date personnel management (recruitment, evaluation, training, qualifications and requirements)
Administration processes automation (e.g. automatic correspondence, notifications sent automatically to data administrators when specified system event occurs)
Abilities to wide-range configuration of the module components, including e.g.: the pays elements and the pay program, work time assessment program, field display and technical details in the information types
Easy reports using link with MS Word and Excel
Possibility to start Intranet components (Employee Self-Service)
Using advanced mechanism of data protection
Efficient support system for the standard system provided by SAP; using experiences of SAP R/3 users
Easier and cheaper administration of the personnel-pays system within integrated R/3 environment
