Polska Telefonia Cyfrowa: breakthrough in recruitment – the first SAP E-Recruiting in Poland

In mid-February, as the first company in Poland, Polska Telefonia Cyfrowa (PTC) gave access to a recruitment portal based on an innovative solution SAP E-Recruiting. The project was supported by BCC.

PTC, operator of Era and Heyah mobile networks, carries out many recruitment processes and consequently must process about 40,000 candidates’ applications yearly. A process of such a large scale had to be improved both inside and outside the company.

For quite a long time the need to use the Internet during recruitment has been growing. This is convenient not only to a candidate, but first of all to the company, which does not have to process a huge number of paper documents. When searching to meet those needs PTC decided to implement the most modern system in Poland which would, on the one hand, help contact the candidate quicker and on the other ease the burden of routine duties on the employees.

SAP E-recruiting functionality manages all the recruitment process from creating and approving a recruitment proposal, carrying out the publication of a job offer and collecting applications to their assessment and information exchange with candidates to the final choice. Moreover, SAP E-Recruiting includes a functionality that enables to run a talent base, which at PTC is called “ERA candidates’ base”, i.e. the base of potential job candidates.

The advantages of the implementation can be seen even in the first days after starting the system. “Our candidates data base includes records of a few hundred people; we can maintain long-term contact with them and immediately search the data base in order to find a suitable candidate for a job. Also the process of a job offer publication is quicker now. Sometimes only one or two hours pass between issuing a recruitment proposal through its approval and publication on www.era.pl sometimes", says Anna Dobierzewska, Personnel Development Department Manager.

The system is available through an Internet browser, which is the basic interface of a recruiter and the candidate both internal and external. Candidates can search for offers and then place applications for a selected post. The recruiter defines the kind of information vital for a chosen vacancy, e.g. what qualifications, education and skills should a potential employee posses. The candidate can also send enclosures with a more detailed description of his or her profile. The whole information flow is included in the IT system, which practically rules out the necessity to use papers.

The works on the solution started in January 2006. Nearly a year later, in December 2006, it was made available for internal recruitment and in mid-February 2007 PTC made it available for external candidates.

In IT terms E-Recruiting is related to other SAP areas: mySAP HR (e.g. the company’s organizational structure), and SAP NetWeaver Portal. “During the project we paid particular attention to technological security of the solution, as candidates use the same system as PTC managers that place and approve recruitment proposals”, said Piotr Jeleniewski, project manager for PTC.

A very important part of the project was integration with Tytan system, used by PTC for electronic approval of applications of many kinds. Tytan gives decision-makers at PTC a few dozen e-applications; SAP E-Recruiting is the first SAP system to be placed in Tytan. ”Such migration allows company’s managers to approve applications from various systems in one place on the corporate portal”, says Paweł Ciborowski, Tytan project manager for PTC.
